The tickboxes related to trialling or enabling the Expand Markbook system

This guide is only relevant for schools using the Expanded Markbook Templates. Please ensure this applies to you before proceeding.
Do not trial or enable this template system without discussing it with a TrackOne representative.



What is a 'Template'?

A template is one or more 'options' for how a markbook should behave.


It could be as simple as a template that shows or hides criteria results.

Or it could be as complex as dozens of different display and behaviour options combined into a single template.


What templates you have and what they do is dependant on the scope of your original markbook sync project and any alterations and custom work since then. Thus, unique to every school.


Setup


This guide assumes you have already completed the steps outlined in Markbook in TrackOne - Setup and already have markbook(s) created.


  • Administration, Configuration > Continous
  • For the markbook we are setting up, click the 'Edit Components' button


Each markbook will have one or more templates associated with it and this is where we define those associations.


On the Markbook Templates tab, click Manage Templates in Markbook to view all available templates.


Tick the relevant templates for this markbook setup. For example, if I were setting up a markbook just for Year 12s, I would not need to add other templates not applicable to that year level.



⚠️️Every school will have differently named templates and options as defined during your setup, the screenshots here are taken from a generic example.
If you are uncertain, please reach out to a TrackOne team member for clarification.



Note that you can always return and tick more later if needed, so you don't have tick everything if you're unsure which ones you'll use.


  • Select the template you wish to associate with subjects by clicking the green arrow icon to the left of the row.
  • With the template selected, tick the relevant year level(s).
    You'll be presented with two options:
    • Include all subjects in the current enrolment period in this group
      This option simply means all subjects in the year level
    • Specified subjects to include in this group
      This option allows you to select specific subjects as we'll see below
  • On the right side there are two checkbox lists:
    • Exclude Year Level/Subjects in these Templates
      By ticking other templates here, you are saying that you do not want these templates to overlap.
      In the example image, I have selected all year 12 subjects but excluded the Senior Applied Subjects template.
      This will mean that all subjects except those defined in the Applied Subjects template, will use this General Subjects template. Saving me time so I don't have to manually specify every general subject.
    • Include Year Level/Subjects in these Templates
      Opposite to the above, this is a way of combining the effects of two templates together.
      For example, you may have a template that controls whether task weightings are on or off and by combining that with this template, I can easily toggle weightings on or off for this group of subjects.


  • Click Specified subjects to include in this group and the 'Maintain Subjects' button will appear automatically.
  • Click Maintain Subjects to select which subjects should use this selected template
  • Note that only the specific subjects relevant to that year level will appear, you can use the 'Show all subjects' to see all of them if necessary. However the selections here will only apply to the students in the selected year level.
  • You can also use the Upload Subjects button if you prefer to type, or paste, a comma separated list.
  • Saving happens automatically on each tick or untick, you can close the window when done.



Custom Fields


A custom field refers to an additional dropdown option that can display on the markbook. This is custom per school and most schools won't have a need for it.


If your TrackOne does have Custom Fields set up, you can simply enable or disable them per template:


Overall Result and Custom Matching


This tab is for specifying what to synchronise to your SIS and how the match should occur.
This is only for schools licensed to synchronise to the SIS.


Note: Adding a new match here does not mean that match will work as intended if that match was not part of your original setup.

For example, if your original sync to your SIS was only for Summative assessment. Adding a Pastoral match here will likely not work.


From the table you can disable a match by ticking the 'Not Applicable' checkbox.


To add another, click the 'New Match' button and fill out the applicable fields:

Template - the relevant template to sync data from.

Work type - summative or pastoral work type(s).

Match type - the section of the markbook to sync (e.g overall calculated result or overall moderated result)

Match target - the data to send, aligning with the display value or numerical value or otherwise.

Filter Year Level - if this template applies to multiple years, the match can apply to just one of them, blank for all.

Matching Rule - how to match between the LMS and SIS.

Objective Code - if the above Matching Rule is Objective Code, which specific objective code to match to.


The options here may vary based on customisations and SIS type.
